For Illinois CILA agencies

How we help CILA agencies get referrals, tours and applications

Families and ISC coordinators usually look an agency up online before they call. Below is what we set up for CILA agencies: the website they find, a page for coordinators, tour booking, hiring and a few things that save you time. We also keep all of it running after launch.

The examples use Kestrel Lane Community Living, a made-up agency with two homes, so you can picture your own.

When a family starts searching

Once someone is selected from PUNS, their family starts looking for a home, usually online.

We build a site that shows each of your homes and how to book a visit. If a family calls after hours or nobody can pick up, they get a text back right away instead of a voicemail.

What we set up: Your website with a page for each home, plus a text back when a call is missed.

When a coordinator is deciding

An ISC coordinator is trying to match one person to one home. The first thing they need to know is whether you can support that person.

A coordinator page lists your homes, who you can support and who you can't. Coordinators send a referral through a short form and get an automatic reply. If a referral is still open after a few days, you get a reminder to follow up. The clinical package is emailed to you directly and never passes through anything we build.

When a family wants to visit

Families pick a time for a tour on a booking page instead of trading calls with you. They get a reminder the day before.

We set it up on Calendly or Google Calendar, whichever you use.

When you're hiring

Applications for different roles often arrive in the same inbox as everything else, which makes them easy to miss.

We add a careers page with your open roles. Applications are filed by role in your inbox, and each applicant gets an automatic reply saying you received it.

When you want your community work seen

A lot of the community work agencies do never shows up on their website.

An events page shows upcoming events and past ones, so families and coordinators can see what you're involved in. When you post an event, it can also go out to your mailing list. Supporters can donate from the same page.

What we don’t touch

The ICAP, clinical notes and referral packages go straight to your inbox and stay there. We don't store information about the people you serve, so no BAA is needed. If you use Therap, you keep using it.

We write your coordinator page with you, and nothing goes up until you've approved it.

How we start

We begin with a short call about how referrals, tours and hiring work at your agency today. From that and your public information, we draft your coordinator page for free. You can use it whether or not you work with us.

If you want more, we build the other pieces one at a time and maintain them after launch.
